Biometric Attendance Software for Indian Gyms

Face recognition kiosk, QR code check-in via the member app, and a reference photo captured at enrollment. 3-second check-ins. Zero fingerprint hardware. Built for the way Indian gyms actually run.

The problem

Fingerprint biometric is broken. Manual sign-in sheets are worse.

Indian gyms have been stuck with two bad attendance options: fingerprint biometric hardware that costs ₹8,000 to ₹25,000 per unit, wears out in 18 months, and fails with sweaty hands (every gym owner knows the frustration). Or a paper register that nobody fills in honestly, gets lost, and gives you zero data about when members actually show up.

A new problem has also emerged: face recognition kiosks that match the wrong face and silently check in the wrong member. Without a reference photo captured at enrollment, you have no way to verify who was actually enrolled versus who the kiosk thinks was enrolled.

Indian gyms need attendance that works in 3 seconds, costs no hardware, records the actual check-in time, and lets admins verify the enrolled face for every member. That is what Gym Manager Hub ships.

The Gym Manager Hub way

Face recognition + QR check-in + reference photo. All from one platform.

The Gym Manager Hub biometric attendance module runs on any tablet or Android device with a camera. Members walk up, the kiosk matches their face against stored facial embeddings, attendance is recorded in 3 seconds, and the reference photo captured at enrollment is shown in the admin panel so you can verify the enrolled identity.

Prefer QR check-in? Every member has a unique QR code in the Gym Manager Hub member mobile app. They open the app, tap the QR tile and scan at the kiosk — attendance recorded instantly. No fingerprint hardware, no hygiene issue, no wearing out over time.

How it works

Four steps to go live

  1. 1

    Set up the kiosk

Open the Gym Manager Hub kiosk PWA on any tablet or Android device with a camera. Sign in with your gym's kiosk credentials.

  2. 2

    Enrol members

During member registration, the kiosk captures a single reference photo of the member's face. The photo is stored on your gym's account and linked to the member profile.

  3. 3

    Check in in 3 seconds

Members walk up to the kiosk. Face recognition matches them automatically and records attendance. Or they scan their QR code from the member app. Either way — 3 seconds.

  4. 4

    Review and verify

Admins can see the reference photo for every enrolled member, staff and trainer. If someone was mistakenly matched to the wrong identity, spot the issue and re-enrol them from the member detail page.

FAQ

Frequently asked questions

What biometric attendance methods does Gym Manager Hub support?

Gym Manager Hub supports three check-in methods out of the box: face recognition via a kiosk, QR code check-in via the member mobile app, and manual marking by staff. The face recognition kiosk captures a reference photo during enrollment so admins can verify which face is enrolled for each member.

Do I need to buy fingerprint or biometric hardware?

No. Gym Manager Hub runs the face recognition kiosk on any tablet, Android device or laptop with a camera — no fingerprint reader or specialist biometric hardware needed. If you prefer QR check-in, all your members need is the Gym Manager Hub member mobile app on their phone.

How long does a check-in take?

About 3 seconds. Face recognition matches the member's face against the enrolled faces stored on your gym's kiosk. QR code check-in via the member app is instant — members open the app, tap the QR tile, and scan at the kiosk.

What is a face reference photo?

During enrollment, the kiosk captures a single reference photo of the member's face and stores it against their profile. This solves the "who did I actually enrol" problem — admins can see exactly which face was registered for each member, staff or trainer. If someone is mistakenly matched to the wrong identity, you can immediately spot the issue and re-enrol them.

Is the biometric data stored securely?

Face recognition data is stored as encrypted facial embeddings on your gym's kiosk, not as raw photos in a public database. The reference photo is stored in your gym's own Gym Manager Hub account with role-based access control. No biometric data is shared with third parties.

Does QR code check-in work offline?

QR code check-in requires an internet connection to verify the member and record attendance. The face recognition kiosk can operate in "offline queue" mode — it records the check-in locally and syncs when the internet is back.

Can I use biometric attendance for staff and trainers too?

Yes. Gym Manager Hub supports biometric and QR attendance for members, trainers, dietitians, receptionists, group instructors, housekeeping and security staff. Each role has its own check-in flow and reports are segmented by role.

How is this different from fingerprint biometric systems?

Fingerprint biometric systems require specialist hardware (usually ₹8,000 to ₹25,000 per unit), wear out over time, and fail with sweaty hands — a common problem in a gym. Face recognition works on any camera-enabled device, does not need members to touch anything, and captures a reference photo for verification. No hardware to buy, no hygiene issue, easier to use.
